Requirements:

• Proven experience as an Executive Administrative Assistant or in a similar role.

• Exceptional written and verbal communication skills in English.

• Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

• Strong organizational and time management skills, with the ability to multitask and prioritize effectively.

• Excellent attention to detail and accuracy in capturing and documenting information.

• Ability to maintain confidentiality and handle sensitive information with discretion.

• Strong problem-solving skills and the ability to work independently or as part of a team.

• Flexibility and adaptability to handle changing priorities and meet tight deadlines.

Responsibilities:

Meeting Support:

• Attend meetings with the Managing Director and capture detailed notes on discussions, decisions, and action items.

• Record and organize meeting minutes, ensuring accuracy and completeness of information.

• Follow up on action items, track progress, and update relevant stakeholders on the status of tasks.

• Coordinate with internal and external stakeholders to schedule and confirm meeting arrangements.

Calendar Management:

• Manage the Managing Director’s calendar, scheduling meetings and appointments.

• Proactively remind the Managing Director about upcoming meetings, deadlines, and deliverables.

• Coordinate with other team members and departments to ensure the Managing Director’s schedule is optimized and conflicts are resolved efficiently.

Deliverables Preparation and Distribution:

• Work closely with the Managing Director to prepare various deliverables such as reports, presentations, and proposals.

• Ensure the timely completion of deliverables by coordinating with relevant team members.

• Review and proofread documents for grammar, spelling, and formatting, ensuring high-quality outputs.

• Distribute deliverables to clients and stakeholders as promised, utilizing appropriate communication channels.

Communication and Correspondence:

• Act as a liaison between the Managing Director and internal/external stakeholders, maintaining professionalism and confidentiality.

• Draft, edit, and proofread various communications including emails, letters, memos, and other documents.

• Manage incoming and outgoing correspondence, prioritizing and responding to inquiries and requests in a timely manner.

Meeting Preparation:

• Conduct thorough research and gather relevant information in preparation for upcoming meetings.

• Assist the Managing Director in organizing meeting materials, presentations, and other supporting documents.

• Create visually appealing and professional presentations for both internal and external use.

• Collaborate with the Managing Director to develop meeting agendas and ensure all necessary materials are available.
