This is a remote position.
We are looking for a motivated and detail-oriented Remote Executive Assistant to support a senior leadership professional. This entry-level role is ideal for a self-starter eager to grow and gain hands-on experience in administrative and executive support. The selected candidate will assist with tasks such as reconciling financial statements, managing correspondence, task follow-ups, calendar coordination, drafting documents like Statements of Work (SOW), and other executive assistant responsibilities. Candidates must be willing to accommodate schedules across both IST (India Standard Time) and PST (Pacific Standard Time).
Key Responsibilities:
Administrative Assistance:
Provide day-to-day administrative support to the executive.
Draft and manage correspondence, including professional emails and messages.
Organize and maintain records, documents, and reports.
Financial Reconciliation and Support:
Reconcile bank statements and assist in maintaining financial accuracy.
Process and track payments and invoices.
Maintain well-organized and up-to-date financial documentation.
Task Coordination:
Monitor and follow up on outstanding tasks and deadlines.
Assist in prioritizing and tracking the progress of projects and commitments.
Calendar and Scheduling:
Coordinate and manage the executive’s calendar across multiple time zones.
Schedule meetings, appointments, and events, ensuring there are no conflicts.
Provide reminders and prepare agendas for important meetings.
Document Preparation and Review:
Assist in drafting and revising documents, such as Statements of Work (SOW).
Ensure proper formatting, structure, and attention to detail in documentation.
General Executive Support:
Coordinate communications between internal and external stakeholders.
Handle ad-hoc administrative and personal support tasks as requested.
Proactively identify opportunities to improve processes and efficiencies.
Requirements
Qualifications:
0-1 years of relevant experience in an administrative or assistant role (internship experience is acceptable).
Strong organizational and time-management skills.
Proficient in Microsoft Office Suite.
Effective communication skills, both written and verbal.
Attention to detail and ability to maintain confidentiality.
Flexibility to accommodate schedules across IST and PST time zones.
Familiarity with basic bookkeeping or financial reconciliation is a plus.
Eagerness to learn and take on new responsibilities.
