Job Description

We are looking for an Operations Assistant to support our recruiting, onboarding, and talent management activities. The Operations Assistant’s responsibilities include: scheduling calls and interviews, communicating with consultants deployed on projects, acting as the bridge between payroll and HR, and handling paperwork. Ultimately, you’ll help us hire efficiently and keep our hiring process running.

Our expert Data Science and Data Engineering teams are led by MIT and Caltech PhDs, specializing in Deep Neural Networks and other Machine Learning approaches.

We work on a project basis with companies ranging from startups to Fortune 500’s to provide the skills, design and talent to solve some of today’s most challenging questions. We are constantly growing our team to meet the demand, and you will play an integral part in that process.

Responsibilities:

  • Coordinate activities
  • Undertake clerical duties (e.g. answering emails)
  • Schedule interviews and keep calendars for all hiring teams and candidates
  • Maintain candidate progress on spreadsheets
  • Track vacation and payroll timesheet discrepancies
  • Act as a liaison for the consultants working at client sites.
  • Maintain Google spreadsheets. Handle records and paperwork
  • Work with HR, Recruiting, Sales and Marketing in a dynamic fast changing environment
  • Resolve issues as fast as possible (e.g. interview cancellations)

Requirements:

  • Bachelor degree preferred
  • Great communication skills, and the ability to diffuse tense situations.
  • Ability to work independently and as part of a team
  • Strong organizational and time management skills
  • Great attention to detail
  • Very comfortable multitasking and being flexible
  • Slack/Zoom experience good to have
  • Outstanding communication skills
