As a Remote Administrative Assistant for the Research Vertical, you will play an indispensable role in enabling our team of remote researchers to perform optimally. This critical support position involves managing a wide variety of administrative tasks and coordination efforts that underpin smooth research operations in a distributed work environment. You will help boost productivity and collaboration for researchers by managing schedules, communications, documentation, and department activities. Your solutions-focused approach to providing comprehensive virtual administrative support will enhance workflow and continuity for our vital research initiatives.
Responsibilities
· Data Management:
o Maintain well-organized, digital databases of research materials, reports, and relevant information.
o Assist with data entry, validation, and analysis using digital tools and platforms.
· Documentation and Record-Keeping:
o Prepare, review, and maintain research documents, reports, and findings in digital format.
o Ensure easy accessibility and organization of digital records.
· Communication Support:
o Manage email correspondence, phone calls, and schedule virtual meetings.
o Draft, edit, and proofread digital correspondence, reports, and presentations.
· Resource Coordination:
o Assist in coordinating the procurement of supplies, equipment, and resources for research projects, including remote arrangements.
o Collaborate with relevant teams to ensure timely resource acquisition and maintenance.
· Calendar and Schedule Management:
o Maintain digital department calendars, schedule virtual meetings, and coordinate remote events.
o Manage team members’ availability for virtual research-related activities.
· Travel and Logistics:
o Arrange remote travel, accommodation, and transportation for research staff attending virtual conferences or remote fieldwork.
o Handle logistics for virtual research events, workshops, and conferences.
· Administrative Support:
o Provide remote administrative support, such as digital document management, email management, and office organization.
o Manage digital expense reports, reimbursements, and budget tracking for research projects.
· Confidentiality and Data Security:
o Maintain strict confidentiality regarding sensitive research data and results, particularly in remote work environments.
o Ensure compliance with data security and privacy regulations in remote settings.
· Team Collaboration:
o Collaborate with remote research staff and other administrative assistants to enhance cross-functional efficiency and knowledge sharing.
o Support a positive team dynamic through effective digital communication and remote teamwork.
· Other duties as assigned
Qualifications
· Bachelor’s degree in health sciences, Biotechnology, Biomedical Sciences, or related field. (Master’s degree preferred)
· Proven experience in administrative roles, with a strong preference for remote work experience.
- ·        Knowledge of research principles and terminology is a plus.
Required Skills/Abilities:
· Proficiency in remote work tools and digital office software (e.g., Microsoft Office 365, Microsoft SharePoint, Google Workspace)
· Proficient in the English language

Supervisory Responsibilities:
· This position has no supervisory responsibilities.
Work Conditions:
· This is a fully remote role, with the expectation of working from your own home office or a remote work environment.
· Working hours will be 7 AM to 4 PM EST.
Physical Requirements:
· Ability to sit or stand for extended periods of time at a desk while performing administrative duties.
· Manual dexterity for frequent keyboarding, using office equipment like printers and phones, and handling documents.
· Visual acuity for working on a computer, reviewing detailed reports and data, preparing presentations, and reading/proofing correspondence.
· Communicating clearly in person, on the phone, virtually and via email/chat. This includes verbal discussion and the ability to listen actively.
· Remote positions require home office setup with computer, phone, internet, and supplies.
