Key Responsibilities
Minimize missing time cards and proactively engage employees to obtain zero payroll/pay-rate/bill-rate related issues.
Responsibilities
A. Time cards
- Reminders for time entry and allow personal touch to improve employee engagement using effective communication.
- Check for missing time sheets and log number of missing timesheets – Weekly Payroll Monday 12 pm EST of the payout week – Bi-weekly Payroll Thursday 12 pm EST of the week preceding payout week.
- Follow up with contract employees with missing timesheets, maintain the log and follow up and monitor.
- Minimize missing time sheets by the payroll timesheet pulling deadline of – Weekly Payroll Monday 5 pm EST of the payout week – Bi-weekly Payroll Friday 5 pm EST of the week preceding payout week.
- Share list of missing and pending approval timesheets with Payroll team and appraise CS team by Monday 5 pm EST.
- Keep the information ready to answer questions related to payroll contract employees (Missed Pay, Adjustments, Missed time cards, un-approved time) and answer all questions related to pay.
B. Pay Rate / Bill Rate Changes
- Cross verify all changed pay rates in Paychex / Spectra net / VMS Portal.
- Maintain excel log file for any communication from CSM or VMS about pay or bill rate changes.
- Check the log file if the same information in reflected in Spectranet.
- Check the log file if the same information in reflected in Paychex in case of pay rate changes.
- Check the log file if the same information is reflected in Dynamics.
- Maintain log of adjustments like advances paid and deducted.
- Randomly verify all bill rates in Dynamics /Spectranet / VMS Portal.
C. Help CS team for other administrative needs
Rules of Escalation:
- Share the list of missing timecards with CS team for their guidance/response.
- Weekly Payroll Monday 5 pm EST of the payout week.
- Bi-weekly Payroll Friday 5 pm EST of the week preceding payout week.
- Send 2nd follow-up with the list of missing timecards beyond a day of submission deadline.
D. Training
1. By Payroll team:
- Train how to poll timecards and use VMS systems for timecards and pay and bill rates.
- Spectranet usage for information.
- Paychex/Dynamics usage.
2. CS Team:
- Communication to Employees.
- Communication with CS Teams.
- Any admin activities.
E. Reports:
1. Daily reports:
- With the total number of consultants and their timesheet status
2. Weekly reports:
- Previous week wise % and # missing time cards, % and # pending approval time cards.
- Send Bill Rate/ Pay Rate / Adjustments / Advances Log to CSM and Payroll team.
- Monthly report – Month-wise % and # missing time cards, % and # pending approval.

- Work independently with little supervision in a fast-paced agency environment.
- Have a knack for learning and staying up to date with new technologies.

- Goal oriented; have a burning desire to be successful.
- Advanced computer skills especially Microsoft Word, Microsoft PowerPoint, Outlook.
- Highly motivated individual able to grasp complex technologies, tools or knowledge and learn quickly.
- Must have a demonstrated ability to work within tight deadlines.
- Willing to work in night shifts.
