Job description
Key Responsibilities:
Objective Minimize missing time cards and proactively engage employees to obtain zero payroll/pay-rate/bill-rate related issues.
Responsibilities:
A. Time cards
1. Reminders for time entry and allow personal touch to improve employee engagement using effective communication
2. Check for missing time sheets and log number of missing timesheets – Weekly Payroll Monday 12 pm EST of the payout week – Bi-weekly Payroll Thursday 12 pm EST of the week preceding payout week
3. Follow up with contract employees with missing timesheets Maintain the log and follow up and monitor
4. Minimize missing time sheets by the payroll timesheet pulling deadline of – Weekly Payroll Monday 5 pm EST of the payout week – Bi-weekly Payroll Friday 5 pm EST of the week preceding payout week
5. Share list of missing and pending approval timesheets with Payroll team and appraise CS team by Monday 5 pm EST
6. Keep the information ready to answer questions related to payroll contract employees (Missed Pay, Adjustments, Missed time cards, un-approved time) and answer all questions related to pay
B. Pay Rate / Bill Rate Changes
1. Cross verify all changed pay rates in Paychex / Spectra net / VMS Portal
2. Maintain excel log file for any communication from CSM or VMS about pay or bill rate changes
3. Check the log file if the same information in reflected in Spectranet
4. Check the log file if the same information in reflected in Paychex in case of pay rate changes
5. Check the log file if the same information is reflected in Dynamics
6. Maintain log of adjustments like advances paid and deducted
7. Randomly verify all bill rates in Dynamics /Spectranet / VMS Portal
C. Help CS team for other administrative needs.
Rules of Escalation:
1. Share the list of missing timecards with CS team for their guidance/response
Weekly Payroll Monday 5 pm EST of the payout week
Bi-weekly Payroll Friday 5 pm EST of the week preceding payout week
2. Send 2nd follow up with the list of missing timecards beyond a day of submission deadline
Training
1. By Payroll team:
a. Train how to poll timecards and use VMS systems for timecard and pay and bill rates.
b. Spectranet usage for information
c. Paychex/Dynamics usage
2. CS Team:
a. Communication to Employees
b. Communication with CS Teams
c. Any admin activities
Reports:
1. Daily report – with total no. of consultants and their timesheet status
2. Weekly report
a) previous week wise % and # missing time cards, % and # pending approval time cards
b) Send Bill Rate/ Pay Rate / Adjustments / Advances Log to CSM and Payroll team
3. Monthly report – Month wise % and # missing time cards, % and # pending approval
